Sample: supplier due diligence report, green coffee

This is what a due diligence report actually checks and how it reads. The exporter below is invented; the registries, the checks and the standards it is checked against are real.

Sample built from public data. Not a client engagement. "Exemplo Café Exportadora" (fictional) is a company invented for this sample and does not exist. The registries, the checks, and the standard cited for the ICO certificate are real; the specific findings below are illustrative, not a real investigation.

What was checked

Check Method Result (illustrative)
CNPJ active Receita Federal public CNPJ lookup Active, formed 2019 (illustrative)
Federal tax clearance Certidão Negativa de Débitos, Receita Federal Clear (illustrative)
Siscomex accreditation Portal Único Siscomex, habilitação query Accredited, Limitada modality (illustrative)
ICO certificate of origin Checked against the authorised issuer for green coffee, CECAFÉ or CNC, per Portaria MDIC 141/2003 Not confirmed with the issuing body at time of check (illustrative; flagged for follow-up)

What the failed check means, and what it does not

Green coffee cannot be exported without a Certificado de Origem da OIC, the ICO certificate of origin, mandatory under Portaria MDIC 141/2003 and issued only by an authorised body: CECAFÉ or CNC for green beans, ABICS for soluble coffee, ABIC for roasted or ground. The report above flags that this fictional exporter's certificate was not confirmed directly with the issuing body at the time of the check. That is not, by itself, proof of fraud: a real check follows up with CECAFÉ or CNC directly to confirm the certificate before it is accepted. It is a real flag that has to be resolved, in writing, before a contract is signed, exactly the kind of gap a due diligence check exists to surface rather than assume away. See trade documents by commodity for what should travel with a green coffee shipment and who normally issues it.

What a clean set of registry checks does not prove

Even where every registry check passes, as three of the four did in this illustrative case, that confirms the company legally exists, is current on tax, and is accredited to trade. It does not confirm the coffee itself matches the grade and moisture the contract will specify, and it does not protect a payment sent to the wrong bank account. Those are separate steps: pre-shipment inspection for the cargo, and the payment terms pages for protecting the transfer itself.

What a real report adds beyond this sample

The actual CNPJ, registration date and accreditation status of the real exporter you are checking, a written confirmation of the ICO certificate directly with CECAFÉ, CNC or the relevant issuing body, and, where sugar or another high-fraud commodity is involved, a check of the offer's terms against the ICC's recorded scam pattern. See export scams and red flags for that pattern.

Frequently asked questions

Is 'Exemplo Café Exportadora' a real company?

No. The name is invented for this sample, marked fictional throughout, and does not refer to any real Brazilian exporter. Any resemblance to a real company name is coincidental and unintended; the sample exists to show the format of the check, not to describe any actual business.

Are the registries and standards real?

Yes. The Receita Federal CNPJ system, the federal tax clearance certificate, Siscomex accreditation, and the ICO certificate of origin requirement for green coffee, mandatory under Portaria MDIC 141/2003, are all real and are the same checks used on a real engagement, described on verifying a Brazilian exporter.

Why does the report show a failed check?

Because a real due diligence report does not always come back clean, and showing only a pass would misrepresent what the service does. Reporting a failed check plainly, rather than softening it, is the point of using an independent party.
